MY PAY DAY LIMITED (“we”, “us”, “our”) operates mypaydayumbrella.com and provides umbrella payroll services. We are a company registered in England and Wales (Company No. 12542262) with our registered office at 30 Churchill Place, Canary Wharf, London, E14 5EU.

We are the data controller for the personal data described in this policy. This policy explains how we handle your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Agency and client contact details — for recruitment agencies and end clients we work with.

  • onboard you and carry out identity and right-to-work checks;
  • process payroll, calculate tax and National Insurance and pay your salary;
  • submit Real Time Information (RTI) and other returns to HMRC;

  • invoice recruitment agencies and end clients;
  • respond to enquiries and provide support;
  • meet our legal, regulatory and accounting obligations; and
  • maintain and improve the security and performance of our website.

  • Contract — to perform our employment contract with you or take steps before entering into it.
  • Legal obligation — to comply with tax, employment, pension and right-to-work laws.

Where we process special category data (for example, health information for statutory sick pay), we do so where necessary for employment and social security obligations.

5. Who we share your information with

We only share your data where necessary, including with:

  • HM Revenue & Customs (HMRC) and other government bodies;
  • workplace pension providers and insurers;
  • recruitment agencies and end clients involved in your assignments;
  • banks and payment service providers;
  • trusted IT, software and payroll system suppliers acting on our instructions;
  • our professional advisers, auditors and legal representatives; and
  • law enforcement or regulators where required by law.

We do not sell your personal data.

If we transfer personal data outside the UK, we ensure appropriate safeguards are in place, such as adequacy regulations or approved contractual clauses.

7. How long we keep your information

We keep personal data only for as long as necessary. Payroll and tax records are generally retained for at least six years after the end of the tax year to which they relate, to meet HMRC and legal requirements. Other data is deleted or anonymised when no longer needed.

Under data protection law you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
